LogistixOne ("LogistixOne", "we", "our", or "us") values your privacy and is dedicated to safeguarding the personal information of those who visit our websites, use our services, or access our mobile applications. We are committed to being transparent about how we collect, utilize, share, and secure your personal data.

If you do not wish for us to manage your personal information as outlined in this Privacy Policy, please refrain from using the LogistixOne Platform. Personal information refers to data that can reasonably be used to identify you as an individual, such as your name, email address, and phone number.

If you are a driver using the LogistixOne Driver App and are associated with a company or fleet operator ("Company") that uses LogistixOne's services, all personal information you submit through the Platform is stored on LogistixOne's servers and database and made accessible to that Company. This Privacy Policy does not govern how the Company manages your personal information. LogistixOne will only share your information with a Company at your explicit request or as part of the service relationship. We do not disclose your information to any Companies you have not authorized us to share it with. For details about how a Company uses or discloses your personal data, please review their privacy policy or reach out to them directly.

1. WHAT PERSONAL INFORMATION WE COLLECT

A. Information You Provide to Us

We collect personal information that you voluntarily provide through the LogistixOne Platform. This may include information submitted when you create an account, use the LogistixOne mobile app or web application, sign forms, participate in surveys, fill out documents, or engage in training via the platform. Examples of personal information you may choose to provide include:

  • Contact details: such as your name, address, email address, and phone number
  • Account information: including your username, password, and profile information
  • Driver-related information: including your driver's license number, commercial driver's license (CDL) information, records of traffic violations or accidents, and certification data
  • Vehicle information: including vehicle registration details, technical specifications, and maintenance records
  • Load and cargo information: including cargo details, routing information, delivery requirements, and shipping documentation
  • Background check information: such as your full name, date of birth, and Social Security number, if submitted to allow a Company to conduct a background check or an FMCSA Clearinghouse check
  • Communication data: such as messages sent to a Company via the LogistixOne app or through services like text messaging and push notifications
  • Images: such as photos of your driver's license, Social Security card, medical card, vehicle documentation, or selfies for identity verification
  • Form and training content: including data you provide on applications, surveys, documents, or training modules accessed and signed through the LogistixOne Platform
  • Location information: when you grant permission, we collect location data to provide route optimization, delivery tracking, and location-based services

B. Information We Collect Through Technology on the LogistixOne Platform

We use various technologies to collect information that helps us improve your experience and the services we provide. When you access and interact with the LogistixOne Platform, we gather data about how you use it. Below are some of the ways we collect this information:

  • When you visit the LogistixOne Platform, we may collect your device identifier, browser type, and Internet Protocol (IP) address. An IP address can sometimes indicate the general area or the internet provider (such as an ISP, company, or organization) you used to connect to the internet. Although IP addresses may hint at your location, they do not directly reveal your identity. We do not associate your personal information with your device identifier, browser data, or IP address unless necessary for service delivery or security purposes.
  • We also collect data about how you use the LogistixOne Platform, such as the duration of your visits, how often you use certain features, your frequency of visits, and the actions you perform (referred to as "Platform Usage Information"). In some cases, we may associate this usage information with personal information you've shared with us. When we do, we treat the combined data as personal information.
  • Do We Use Cookies? Yes. Cookies are small files stored on your computer by your web browser that allow websites or service providers to recognize your browser and store certain data. For example, once you log in and verify your identity on the LogistixOne Platform, a cookie helps remember you as you move between pages. Cookies can also track how you arrived at the LogistixOne Platform by noting which link you clicked.
  • We may use third-party service providers to place and manage cookies on the LogistixOne Platform and to analyze how users interact with the site and the LogistixOne app. Companies may also place cookies on the LogistixOne Platform. These cookies are managed solely by the Company, and any data they collect is subject to the Company's privacy practices—not LogistixOne's. We do not receive or control the personal information gathered by those cookies. We encourage you to review the Company's privacy policy or reach out directly to them with any questions regarding how they handle your data.
  • You can modify your browser settings to receive alerts each time a cookie is sent, or to disable cookies altogether. Please note that disabling cookies may affect the functionality of certain features on the LogistixOne Platform.

C. Information You Provide to a Third Party

The LogistixOne Platform may contain links to or integrations with websites and applications operated by third parties ("Third-Party Sites"). Whether you choose to visit or share information with a Third-Party Site is entirely up to you. LogistixOne does not have control over these Third-Party Sites and is not responsible for the data they collect or how they use it. Each Third-Party Site has its own privacy policy that governs its data collection and usage practices. If you decide to interact with or provide personal information to a Third-Party Site, we strongly encourage you to review their privacy policy to understand how your information will be handled.

D. Information Third Parties Provide About You

At times, we may receive personal information about you from third parties. For instance, if you are associated with a Company that uses LogistixOne services, that Company may share your information with us to enable service delivery. This could include cases where a Company enrolls you in their fleet management system and shares your personal details with us so you can access the LogistixOne Platform. We may combine this third-party information with the personal data we collect directly through the LogistixOne Platform to provide a more complete experience and better support our services.

Gmail & Google OAuth Integration

Our Dispatch Web App integrates with Google OAuth to provide email functionality. This section describes how we access, use, and protect your Gmail data.

Data Accessed

Through Google OAuth, with your explicit consent, we may access:

  • Gmail message metadata (subject, sender, recipient, date, snippet)
  • Gmail message bodies (for reading messages)
  • Attachments (when applicable)
  • Ability to send emails on your behalf (reply/new messages)

We do not access any Google user content beyond what is necessary for these features. We only access data that you explicitly authorize during the OAuth consent process.

Data Usage

We use the accessed data only to:

  • Fetch and display new incoming messages
  • Show email content and attachments
  • Mark messages as read or archive them as instructed
  • Apply labels where necessary
  • Prevent duplicate notifications
  • Allow users to send replies or new messages
  • Parse cargo information from broker emails
  • Send email communications to brokers
  • Parse broker responses and display notifications on the LogistixOne platform

All usage is limited to the functions explicitly shown to you during authorization. We do not use your Gmail data for any purpose other than providing the email functionality within our Service.

Data Sharing

We will not share your Gmail data with third parties except:

  • With service providers under Non-Disclosure Agreements (NDAs) who support our operations and are bound by strict confidentiality obligations
  • When required by law or court order, in which case we will notify you unless legally prohibited from doing so

Only the minimum necessary data is shared in such cases. We do not sell, rent, or trade your Gmail data.

Data Storage & Protection

We implement robust security measures to protect your Gmail data:

  • Encryption: Gmail data is encrypted in transit using TLS/HTTPS and at rest using AES-256 or equivalent encryption standards
  • Access Control: Access is limited internally to the systems and personnel that require it for service delivery
  • Security Audits: We conduct regular security audits and vulnerability testing to ensure the protection of your data
  • Credentials: We will never share your access credentials with third parties

Data Retention & Deletion

Gmail data is retained only as long as necessary to provide the email functionality. Our retention practices include:

  • If consent is revoked or access is no longer needed, data is deleted or anonymized promptly
  • Users can request deletion of their Gmail data at any time via our support team at info@logistix.one or through account settings
  • Google tokens and stored email data are permanently removed from backups within 30 days after deletion

Authorization Management

You have full control over your Google account access:

  • You can revoke LogistixOne's access to your Google account at any time through your Google Account settings
  • Revoking access will immediately stop all data access, and we will delete or anonymize your Gmail data as described above
  • Please note that revoking access may limit certain features of our service that rely on email communication

2. HOW WE USE THE PERSONAL INFORMATION WE COLLECT

We use the personal information we gather to support our users and enhance your experience on the LogistixOne Platform. Here are some of the ways we use this information:

  • Supporting drivers and fleet operators during the onboarding process by providing access to forms, documents, surveys, and training through the LogistixOne Platform, and sharing your submitted information with the Company when authorized
  • Assisting you in managing your routes, loads, and deliveries through the LogistixOne Platform
  • Enabling communication between drivers and Companies, including via text messages and push notifications
  • Providing location-based services, route optimization, and delivery tracking
  • Enabling you to share your experiences and feedback within the platform through social features
  • Responding to your questions, comments, and feedback
  • Continuously assessing and enhancing the online user experience
  • Identifying and resolving technical issues on the LogistixOne Platform
  • Preventing, detecting, and investigating potential violations of this Privacy Policy or our Terms of Use, as well as addressing any suspected fraud or related concerns
  • Complying with legal obligations and regulatory requirements
  • Providing and maintaining our services
  • Improving and personalizing your experience

Data Retention: We retain your personal information in accordance with the Company's policies (if applicable) and any applicable legal requirements. We retain data only as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

The Company

As mentioned, if you are associated with a Company that uses LogistixOne services, we share all personal information collected through the LogistixOne Platform with that Company (the company with which you are associated or onboarding), including information collected through cookies. At the Direction of the Company

We may disclose your personal information at the Company's request, such as for background checks through the Company's designated provider or for other business purposes related to the service relationship.

CHILDREN'S ONLINE PRIVACY PROTECTION ACT COMPLIANCE

We do not collect any information from individuals under the age of 13. The LogistixOne Platform, products, and services are intended for individuals aged 13 and older. If you are under 13, you are not authorized to use the LogistixOne Platform.

Our App is not intended for children under 13 years of age (or under 16 in the European Economic Area). We do not knowingly collect personal information from children under 13 (or under 16 in the EEA). If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately. If we become aware that we have collected personal information from a child under 13 (or under 16 in the EEA), we will take steps to delete such information promptly.

For example, we use TLS encryption to protect the data you provide through forms on the LogistixOne Platform. In addition, access to your personal information is restricted within our offices. Only employees who need the data to perform their duties (such as customer service representatives) are authorized to access it. Employees with such access are regularly trained on our security and privacy practices.

We also encourage you to take steps to protect your information, such as logging out of your account or closing your browser after using the LogistixOne Platform, especially if you are using shared or public devices.

While we take reasonable precautions to protect your personal information, please note that no security measure is completely infallible. As a result, we cannot guarantee the absolute security of your data.
